BOOKING, REFUND & CANCELLATION

1. Our Booking Policy

At Ayur Aesthetics, we aim to provide every client with a professional, relaxing and personalised experience.

Appointments reserve dedicated time with our team. We therefore ask clients to respect appointment times and provide reasonable notice when changes are necessary.

This policy applies to appointments for our hair, beauty, nails, laser, facial, massage, wellness and aesthetic services unless separate terms are provided for a particular treatment.

2. Making a Booking

Appointments may be made:

  • through our website;

  • through our authorised booking platform;

  • by telephone;

  • directly at the salon; or

  • through another booking method authorised by Ayur Aesthetics.

Your booking is considered confirmed once confirmation has been issued by Ayur Aesthetics or our authorised booking system.

Please check your confirmation carefully.

It is the client's responsibility to ensure that the selected treatment, date, time and contact information are correct.

3. Appointment Deposits

We may require a deposit or advance payment to secure certain appointments.

Where applicable, the amount will be communicated before the booking is completed.

A deposit may be applied toward the final treatment price.

Any cancellation charge or amount retained from a deposit must remain subject to applicable consumer law. UK government guidance notes that a business cannot make a cancellation charge fair merely by putting it in its terms; generally, retained amounts or cancellation charges should reflect actual losses arising from the cancellation.

4. Cancellation Notice

We understand that plans sometimes change.

We ask clients to provide at least 24 hours' notice if they need to cancel or reschedule a standard appointment.

Notice should be provided through an approved contact method.

Appointments requiring significant practitioner time, specialist preparation or reserved resources may have separate cancellation requirements, provided these are clearly communicated before booking.

5. Late Cancellations

Appointments cancelled with less than the required notice may be subject to an appropriate cancellation charge or loss of an appropriate portion of the deposit, where lawful and fair.

We will consider the circumstances, including whether the appointment can reasonably be filled by another client.

UK consumer guidance states that businesses should not impose excessive cancellation charges and generally should only retain amounts sufficient to reflect losses resulting directly from cancellation.

6. No-Shows

A no-show occurs when a client does not attend a confirmed appointment and has not cancelled it beforehand.

No-shows can result in lost appointment time that could otherwise have been offered to another client.

Where fair and permitted by law, an appropriate amount of a deposit or prepayment may therefore be retained.

Clients who repeatedly fail to attend may be required to make an advance payment before future appointments are accepted.

7. Rescheduling

Where sufficient notice is provided, we will endeavour to transfer your booking to another suitable date/time, subject to availability.

Repeated rescheduling may be restricted where it materially affects our ability to provide appointments to other clients.

8. Late Arrival

Please arrive at the salon in sufficient time for your appointment.

Late arrival may reduce the amount of treatment time available.

Where possible, we will provide the treatment during the remaining appointment time without disrupting subsequent clients.

If you arrive too late for the treatment to be carried out properly or safely, we may need to reschedule or cancel the appointment.

9. Consultations

Some services require consultation before treatment.

Consultations help us understand:

  • your desired outcome;

  • previous treatments;

  • relevant medical history;

  • allergies;

  • contraindications;

  • skin/hair concerns; and

  • whether the requested treatment is suitable.

Booking an appointment does not guarantee that a practitioner will determine that the treatment is appropriate.

10. Medical and Health Information

Clients must provide accurate information where health information is relevant to treatment suitability.

Please tell your practitioner about relevant:

  • medical conditions;

  • allergies;

  • medication;

  • pregnancy;

  • previous reactions;

  • cosmetic procedures; and

  • changes in your health since a previous appointment.

Withholding information relevant to treatment suitability may prevent us from assessing whether a treatment can be provided appropriately.

11. Patch Tests

Some treatments may require a patch test before your appointment.

This can include certain:

  • hair-colouring treatments;

  • tinting treatments;

  • laser treatments; and

  • other services where testing is professionally appropriate.

Where a required patch test has not been completed within the necessary timeframe, we may be unable to proceed with the treatment.

12. Aesthetic Treatments

Certain aesthetic treatments require additional consultation and informed consent.

Your practitioner will discuss relevant matters such as:

  • treatment objectives;

  • expected outcomes;

  • potential side effects;

  • aftercare;

  • contraindications; and

  • alternative options where appropriate.

Ayur Aesthetics reserves the right to decline a treatment where it is considered unsuitable.

13. Treatment Results

Every person responds differently to beauty and aesthetic treatments.

Results may depend upon:

  • age;

  • skin condition;

  • hair condition;

  • genetics;

  • lifestyle;

  • previous treatments;

  • aftercare;

  • treatment area;

  • individual biological response; and

  • adherence to the recommended treatment plan.

Photographs or examples of previous results are illustrative and do not guarantee identical results for another client.

14. Hair Colour Services

Hair colour results can vary depending upon:

  • existing colour;

  • previous chemical treatments;

  • hair condition;

  • porosity;

  • natural pigment;

  • home colouring; and

  • desired result.

Major colour transformations may require multiple appointments.

Where relevant, our stylist will discuss the proposed approach before proceeding.

15. Treatment Courses and Packages

Some services may be sold as a course or package.

Any package-specific terms, including:

  • number of sessions;

  • recommended intervals;

  • expiry/validity period;

  • payment terms; and

  • transferability,

should be communicated at purchase.

Treatment outcomes may be affected if the recommended schedule is not followed.

16. Refunds for Services

If you have concerns about a service received at Ayur Aesthetics, please contact us promptly.

We would normally ask you to allow our team to inspect or assess the treatment so that we can understand the concern and determine an appropriate response.

Depending upon the circumstances, an appropriate resolution could include advice, review, corrective work, repeat treatment, partial refund, full refund or another remedy.

Nothing in this policy is intended to restrict your statutory consumer rights.

17. Change-of-Mind Refunds

A completed beauty or aesthetic service cannot simply be returned in the same manner as an unused physical product.

However, this does not affect any legal rights you may have where a service has not been provided in accordance with applicable consumer law.

18. Adverse Reactions

If you experience an unexpected reaction following a treatment, contact Ayur Aesthetics promptly.

Depending upon the circumstances, we may ask you to:

  • provide information about the reaction;

  • provide photographs;

  • attend the clinic for assessment; or

  • seek appropriate medical assistance where necessary.

In an emergency or where urgent medical attention is required, clients should contact the appropriate emergency or healthcare service rather than waiting for a salon response.

19. Retail Products

Products should be checked after purchase.

Where a product is faulty, damaged or incorrectly described, your statutory rights remain unaffected.

For discretionary change-of-mind returns, hygiene-sensitive products that have been opened or used may not be accepted where legally permitted.

20. Gift Vouchers

Gift vouchers may be subject to:

  • a stated validity period;

  • treatment exclusions;

  • promotional restrictions; and

  • other conditions disclosed at purchase.

Gift vouchers generally cannot be exchanged for cash except where legally required.

Clients should protect gift vouchers as they would other forms of value.

21. Promotions

Promotions may:

  • operate for a limited period;

  • apply only to specified services;

  • require advance booking;

  • exclude certain dates; or

  • be unavailable in combination with another offer.

Any material conditions will be displayed with the promotion.

22. Cancellation by Ayur Aesthetics

Occasionally, circumstances such as staff illness, equipment issues or events beyond our reasonable control may require us to change an appointment.

Where this occurs, we will endeavour to:

  • notify you as soon as reasonably possible;

  • offer an alternative appointment; and

  • appropriately deal with payments made for a service we cannot provide.

23. Right to Refuse Treatment

Ayur Aesthetics may refuse or discontinue treatment where reasonably necessary, including where:

  • treatment is unsuitable;

  • a contraindication exists;

  • required consultation information is unavailable;

  • required patch testing has not been completed;

  • continuing could compromise safety;

  • a client is abusive or threatening;

  • inappropriate behaviour occurs; or

  • providing the treatment would conflict with applicable professional requirements.

24. Personal Belongings

Please take care of your belongings while visiting Ayur Aesthetics.

Clients should avoid bringing unnecessary valuables to appointments.

Nothing in this provision excludes responsibility where liability cannot lawfully be excluded.

25. Complaints

We take client satisfaction seriously.

If you are unhappy with any aspect of your treatment or experience, please contact us promptly with:

  • your name;

  • appointment date;

  • treatment received;

  • practitioner where known; and

  • a description of your concern.

We will aim to investigate the matter fairly and professionally.

26. Consumer Rights

Nothing in this Booking, Cancellation & Refund Policy is intended to remove or reduce statutory rights available under UK consumer law.

Cancellation terms must be fair; government guidance specifically cautions businesses against excessive cancellation charges and automatic retention of deposits where the amount does not appropriately reflect the loss caused.
